P01 Membership Evaluation and Acceptance Procedure

(Internal Directive – Application Principle of the Board of Directors.)

1. Aim:

This procedure has been prepared to regulate the steps, responsibilities and confidentiality principles to be followed in the membership acceptance process of MUGEP Business People Association. The aim is to create a membership structure that is transparent, fair, in line with strategic goals and supports corporate identity.

2. Scope:

This procedure will be accepted to the association membership. legal entities (companies-institutions) or in exceptional cases real personsIt covers the processes of determining and inviting members.

3. ​​Membership Proposal Process:

•         The association does not accept external applications for membership.Board of Directors; The High Advisory Board organizes member determination meetings with other members according to the situation in the public opinion.

•        Membership proposals are brought to the agenda only by the currentBoard members membership proposals that they deem appropriate in line with the association’s goals and objectives or that they receive ideas from the High Advisory Board and other members in tandem, bring to the agenda, in accordance with this procedure, and in compliance with the principle of confidentiality.  

•         legal entities (companies) or, in exceptional cases, individuals considered suitable for membership are suggested by the members of the board of directors themselves and by taking the opinions of the members of the senior advisory board.

4. Evaluation Process:

•        The proposed name is secretly determined by the proposing board membersin a sealed envelope/ballot box method and placed on the agenda.

•         Eachnamecoming out of the ballot boxis voted again, separately and secretlyin the form of “Yes / No” in a sealed envelope / ballot box method 

•         A minimum of 5 “Yes” votes (%70) are required for the candidate to be accepted to membership. Members who do not vote Yes reserve the right to re-nominate.

5. Privacy and Confidentiality:

•          The names considered, the voting results and the voting documentsregarding who voted in which directionare destroyedat the end of the meeting.

•          Board Members;  does not provide any information about the membership determination meetings to any member, person or institution.

6. Result Notification:

•        Accepted candidates are not directly told that “your membership has been accepted”. The board of directors also determines the appropriate method of communication for each membership offer. It invites the candidateas a member using the method it deems appropriate (visit, special invitation, written offer, etc.). Information regarding members accepted for membership before a final registration decision is made is also kept confidential by the Board of Directors.

•        No notification will be made to rejected candidatesthat “your membership has not been accepted” and it will be kept confidential.

•         If any query is made to the board of directors regarding the membership rejection, a polite and diplomatic statement will be made that “your membership will be evaluated by our board of directors at a later date” expression is used.

7. Application and Flexibility:

This procedure has been prepared in order to facilitate the continuity of decision-making by the board of directors and to prevent gossip and possible resentment.

In exceptional cases, the board of directors may provide flexibility for some steps of the procedureunanimously .
